The Volunteer Coordinator is responsible for daily coordination of volunteer activity, needs, training and recruitment for our client. This position also serves as a primary client service role including but not limited to: greeting, answering of general inquiries from the public by phone, mail and email, etc.
This position will primarily work in Arusha.
Responsibilities/Essential Duties:
- Work with Client staff to determine volunteer position needs.
- Maintain database entries and volunteer scheduling for volunteers by ensuring timely data entry and utilizing volunteer support to keep data base current. Keep database current with volunteer strengths, interests and successes so that they can receive special recognition or accept responsibilities based on their proven dedication
- Track and monitor shift fulfillment percentages for each department to identify areas of need, and proactively recruit and train volunteers to fill missing percentage gaps
- Maintain frequent communication with volunteers via email and phone to keep them engaged. Motivate volunteers to continue with the program, potentially accepting leadership roles.
- Follow-through with volunteers to thank them for their efforts and keep them engaged and active in their positions.
- Host frequent First Day Trainings and assist with the coordination of department-specific trainings for volunteers. In addition, being available to host additional trainings for all departments in the event of staff shortages or last-minute scheduling changes.
- Ensure that all Client staff and volunteers are trained and performing in conjunction with policies and procedures of the organisation, and ensure delivery of quality customer service including dissemination of appropriate information as well as performing duties in a manner which encourages attainment of goals, contributions and business for Client and its programs
- Coordinate and train volunteers for various offsite events and activities that support both partners and Volunteers.
- Handle volunteer complaints, conflict and conflict resolutions issues pertaining to Client with management.
- Other duties as assigned by management.
Required skills and experience:
- 2+ Years administrative leadership and/or supervisory experience required.
- Must possess strong interpersonal skills. The ideal person for this job would be a team player, personable, professional, and able to get along well with a variety of people.
- Must be comfortable with change and ability to work well under pressure.
- Must be able to professionally advocate Client positions on issues.
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Must demonstrate strong written and oral communication skills.
- Must have ability to consistently meet deadlines.
- Must have proficiency with MS Office applications, especially Word, Excel, and Outlook.
- Must be comfortable learning and using online information systems.
- Must be flexible and enjoy handling a variety of tasks.
- Valid Driver’s License with access to transportation to travel on organization business is required.
Physical Requirements:
- Ability to participate in events including nights and weekends and assist in the set-up and breakdown of events, which may involve moderate physical exertion.
- Ability to work around with Volunteers
Education Requirement:
- Diploma/Bachelor Degree in Social work, Sociology & Community related studies
Job Location:
The successful candidate will be working at our client office in Sakina Area in Arusha.
